How We Use and Store Sensitive Data
When you connect a mailbox, we securely store OAuth tokens or, for IMAP/SMTP connections, your email server credentials. OAuth tokens are used solely for accessing your mailbox as permitted by you and are stored encrypted in our database. For IMAP/SMTP connections, usernames and passwords are encrypted at rest with industry-standard AES-256 encryption.
We collect and process email metadata (e.g., headers, conversation IDs, folder info) and, in some cases, message bodies, for the purposes of:
- Calculating engagement, trust, and reputation scores
- Performing placement tests and inbox monitoring
- Detecting replies and interactions
Collected email data, including metadata and message bodies, is only retained for up to 30 days from the date of collection. After this period, email content is permanently deleted from our systems. This ensures your email data is never stored longer than necessary, reducing risk and safeguarding your privacy.
We implement safeguards such as:
- Automatic data expiration and secure deletion routines after 30 days
- Encryption of stored data at rest and during transmission
